Process Model

The athletic scheduling process appears simple, but requires many specific details from mainly the player. It begins with the each coach setting the times that the team will depart and return from every game. Once that has been entered in the system, every player can individually fill out their part. A player must enter in the class name, day and time, and the professor's name and email. Once this is submitted the system will run code to find overlaps between classes and game times. When there is an overlap, an email is sent to that class' professor who can then access the system to view the times the athlete will miss. The only data the professor must input is a checkbox to acknowledge that they have read and agree and an electronic signature. If a professor chooses not to agree or sign, then the system will alert the coach that it was not finished, and the coach will have to meet with the professor to discuss the issue. The system will continue to be active through the season, and alert both player and professor the day prior to the player missing that class.

Here is a picture of the paper form that is currently being used for class conflict with athlete's schedules:

Also, here is a link to the composite schedule for all athletic events that these times and dates are derived from. It is a page on the Chatham Athletics site, which contains lots of other information.
